Abstract:
A Federal Agency with multiple document repositories and manual workflow processes required a centralized, common document repository and business process automation. The distributed nature of the organization and lack of document organization demanded the implementation of a robust document management and portal solution.
Business Challenge:
Decentralized document management and collaboration platforms often result in organization’s wasting time looking for key documentation. Version control issues often arise due to the lack of a “check-out” or file locking mechanism preventing simultaneous revisions by multiple parties.
We were faced with the challenges of implementing a new method for accessing every day files, and the culture challenges that are often associated with a technology change impacting everyday work processes. We were tasked with creating a secure, role based portal system but flexible enough to automate several existing, manual workflow processes.
To resolve these challenges, Definitive Logic worked side by side with the customer organization to define the existing business model and associated processes. We understood that dealing with cultural and procedural issues through frequent communication and a smooth transition would be critical for technology acceptance. Finally, we selected the robust Microsoft SharePoint solution and provided our subject matter experts who designed, configured, and implemented a solution that met the needs of the organization.
